JOB DESCRIPTION: (Office Assistant II) Description: Provide high-level administrative support by conducting grant/ funding research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling of clients and maintain the statistical program EMR SPIMPLE PRACTICE. Tasks: Clinical / Marketing Duties: Day to Day duties of the HIP Assistant to include scheduling of clients. Maintaining Spreadsheets of Clinicians and Insurances that refer to ZWG Developing Referral lists of physicians to refer client to ZWG. Marketing is a must; marketing is done face-to-face, fax, email as well as exhibits and tradeshows. Administrative Duties Front Desk Administrative duties and data entry to include closing out the end of the month utilizing EMR Simple Practice Create and draft inter-office memos, submissions, and reports to determine their significance and plan their distribution. Prepare invoices, reports, memos, letters and other documents, using word processing, spreadsheet, database, or presentation software. Prepare responses to correspondence containing routine inquiries. Prepare monthly report on employee and clinician schedules i.e. S, N, R. and Admin time. Other duties as assigned. Knowledge Clerical: Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures / terminology. English Language: Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Spanish Language: Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Customer and Personal Service: Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Hours per week: 32 hours per week (Tuesdays - Fridays; 9am - 6pm) Both in office and Televideo
