The Administrative Specialist works directly with the owner and serves as the operational backbone of the business — the first voice customers hear and the person who keeps the office running every day.The Administrative Specialist is the operational hub of Critter Control of Kaw Valley. This entry-level position is the first point of contact for customers and the person who keeps every part of the business organized and running smoothly. The role works directly and closely with the owner in a hybrid setting, offering meaningful work, real responsibility, and a clear pathway to advancement.
Customer Communications• Answer and direct all incoming calls and emails in a courteous and professional manner• Respond to customer inquiries about wildlife control services, pricing, and scheduling• Triage urgent service requests from routine inquiries and route accordingly• Follow up with customers after service completion to confirm satisfaction• Manage email inbox — read, respond to, and file all correspondenceScheduling & Dispatch Coordination• Schedule service appointments for a multi-technician field team using company scheduling software• Coordinate technician availability with customer appointment requests• Send appointment confirmations and reminders to customers by phone and email• Prepare daily technician schedules and route sheets• Track technician status in the field and update records upon service completionBilling & Invoicing• Generate accurate customer invoices within 24 hours of service completion• Apply correct service codes, pricing, and line-item descriptions to all invoices• Send invoices by email and by mail as appropriate• Process received payments and issue receipts; record in billing system• Track outstanding invoices and follow up on overdue accounts under owner guidance• Prepare weekly billing summary reports for owner reviewBookkeeping• Record all income and expense transactions daily in QuickBooks (or equivalent)• Categorize transactions correctly using the company’s chart of accounts• Reconcile bank statements against bookkeeping records on a weekly basis• Manage accounts receivable — track outstanding customer balances and apply payments• Manage accounts payable — track vendor bills and flag due dates for owner approval• Prepare monthly Profit & Loss reports for owner reviewPayroll Processing• Collect and verify employee timesheets each pay period• Enter payroll data into company payroll software and verify gross pay, deductions, and net pay• Process payroll each pay period; owner reviews and approves before final submission• Record payroll entries in the bookkeeping system• Maintain complete payroll records for all employees• Support quarterly payroll tax reporting (Form 941, state withholding) under owner guidance• Maintain new employee onboarding documents: W-4, I-9, direct deposit authorizationSocial Media & Online Reputation Management• Manage company Facebook page — create and publish weekly posts• Manage Google Business Profile — update hours, add photos, respond to messages• Respond professionally to Google and Facebook reviews within 48 hours• Monitor all social media messages and respond within 24 hours• Maintain a monthly social media content calendar aligned to seasonal wildlife activity• Track and report monthly engagement metrics (likes, shares, reach, review ratings)Records Management & Office Administration• Maintain organized digital and physical records for customer accounts, service history, and financial documents• File all documents according to the company filing system• Prepare correspondence, reports, and documents as requested by the owner• Manage owner’s calendar — schedule meetings, appointments, and deadlines• Order office supplies and maintain inventory par levels; coordinate with technicians on field supply needs• Assist with employee onboarding paperwork and training record tracking• Complete assigned Rollins Learning Academy online training modulesOther Duties• Perform administrative tasks including data entry, filing, and managing company records• Assist the owner with planning, meeting preparation, and other tasks as assigned• Other duties as assigned by the owner
