Rapid Fire Home Buyers, Montgomery, AL, is seeking an extremely organized Administrative Assistant/Front Desk Receptionist who will be responsible for performing various administrative duties within an office setting. Duties of the Administrative Assistant include providing support to leadership, assisting in daily office needs, and managing general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to prioritize administrative duties in an efficient manner. If you have previous experience as a Secretary, Receptionist, or Administrative Assistant, we’d like to meet you! Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

ABOUT THE JOB

Provide administrative support to the Director of Office Operations and ensure efficient operations of the office. Schedule meetings and appointments. Greet visitors in a welcoming and professional manner. Collate and distribute mail and packages. Carry out administrative duties such as filing, copying, scanning, etc. Prepare communications, such as memos, emails, invoices, reports, and other correspondence. Write and edit documents such as letters, reports, and instructional documents. Create and maintain filing systems, both electronic and physical. Exhibit polite and professional communication via phone, e-mail, and mail. Assist in event planning, coordination, and setup. Performing various out-of-office tasks, making bank deposits, dropping off shipments, picking up mail or supplies, etc. Ensure the operation of equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories. General office maintenance and upkeep. Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies. Support team by performing tasks related to the organization. Other responsibilities may be assigned.
